I did something this week that I don't usually do. I had a customer call with a last-minute booking. We made arrangements via email. Since this was the 6th or 7th time we worked together, this was done as a "handshake deal" (no paperwork was exchanged. Unusual for me, but based on our history and last minute conditions, I went ahead.)
The show went great and I was paid. The customer asked me to send her paperwork in order for her to have a record of the payment (she is a volunteer for a non-profit.) When I arrived home, I saw that the check reflected a $25 tip. There was no notation of this, but a $25 higher amount than we agreed to. Here is my question - should my paperwork indicate the amount agreed to or the amount paid? She did not specify what record she needs, so I assume I could simply send a contract or a receipt. We have always worked with contracts in the past, and never used a receipt, so I would tend to go in that direction based on past practice. If this were a regular transaction, I would not specify a "tip" being involved so I am inclined to simply send a contract based on the original amount. |

Call her up and find out if the tip was from her pocket, give her a receipt for which ever amount she wants it to be for, and thank her profusely.

Not from her pocket, as it was written on the organization check. Now, I have no idea if she donates to the organization in addition to volunteering, nor is it my business, and I think it would be inappropriate to ask.
As an aside, she runs a children's entertainment biz in addition to volunteering for this organization. |

I always call up people after my show to personaly thank them for a tip, because it gives me a warm, and fuzzy feeling to get one.
I did a job over Christmas the man told me that he could not afford my price, so I gave him a $25 discount. After the show he stuffed a wad of money in my pocket, and I thanked him. When I got home I counted the money, he gave me a $30 tip, but couldn't afford my original fee. He then sent me a bunch of pictures he took of me during my show, there is now a picture of his wife, and me hugging on my web site.

More than likely she'll need the paperwork/receipt/invoice to match the price of the check, so I would give her the paperwork in the amount of the check (including the tip). Non-profits are very sticky and paperwork must be accounted for and exact.

Thank you Mindpro. That is the type of thinking I was looking for. I do know common courtesy and proper etiquette, and how to thank someone was not my question so much as what a receipt or contract should indicate.

I too think she would need a receipt to match the check price.

Of course, I agree with my friends above. She needs a receipt to account for all that she spent. If that is a case of multiple receipts, that is fine too.

I simply send a receipt/invoice, showing the billed amount and the amount received. I also send a separate message to thank them.
