I am wondering if any of you can advise on the following.
I am about to send out a direct mailing to companies for holiday season work. It is a cold mailing of names that I have never worked for before. I have made a conscious decision not to phone each company to ascertain the name of the person who books the entertainment.I won't go into the reasons why. Suffice it to say that I have thought it through very carefully and have decided not to go that route. Accordingly I have decided to mail it to a title. But what title? Frankly I find this a puzzle. Should I say "Social events organiser" or " Human resources manager" or "social committee" or what? A friend of mine doesn't even mail it to a title. He just mails it to the company name and address and lets them figure out who to give it to. Any ideas on this? |

I would think the human resources manager. But, there is a lot of other companies that do have social organizers. I used to work for a company 3 years ago that had a social committee just for special events. I recently got out of real estate and I can say from experience that when using direct mail you only get a 2 to 3 percent return. Those 2 to 3 percent returns can turn into a lot of referrals though. Just my 2 cents.

Take the time to call and get the name of the specific person in charge of event planning. You want that person to get a chance to see it before round filing. Don't leave it up to the guy in the mailroom.
Otherwise, use Human Resources or HR Manager as the title. They are usually the department who will handle it or know who to redirect it to. Martin

I have no idea what your own reasons are for specifically NOT taking the initiative to successfully deliver your bottom line sales information to the correct person, but it is your decision.
I have found it to be well worth the time and effort, but I'm not you! Party on with your efforts brother! I would, (Since you asked…) at the very least, direct it to SOMEONE (at the bare minimum a title) who could be of support as to getting you the desired outcome... that PAID BOOKING thing. In addition to the HR Director, you may test a pile to "Holiday Event Panning Committee" Or "Holiday Event Planner" or "Special Event Chair” etc. At least it gets directed closer to SOMEONE who may be able to help get closer to a real solution and paid gig. (The REASON for doing any of this anyway!) You also may wish to consider, if you are not going to find out to whom you should really send it for the best result possible, you may wish to send more than one to each company. HR Dept/Director Events Committee Chair Assistant to the President ...etc. Just some thoughts if your gunna' waist the money anyway. I am at your service and In His Service, Dean <><

I also agree with Dean and others. All you simply have to do is ASK. If you make a simple cold call WHERE YOU ARE NOT SELLING AT ALL. but just imply asking for contact info.. to send your packet to for consideration. They usually have no problem with this at all.
Mailing to a contact you receive from a cold call does several things for you: 1)It makes sure your getting the packet into the hands of the decision maker and not wasting your effrost on it going to someone who does not care and will trash it. 2) It gives you the perfect opportunity to e-mail the contact to introduce yourself and tell them the packet is on the way. 3) It gets the contact expecting your packet in the mail. This way their is more tendency for them to read your information and respond back to it. Kyle

I don't want to seem ungrateful for the help I am getting with this and I do thank you all for taking the time to respond to my query. However I have already stated that I haven't the slightest intention of making phone calls to find out the right person. I am quite well versed in this sort of thing and can assure you all that I know exactly what I am doing regarding this. I am well aware of the fact that the response to a mailing is higher if this procedure is adopted. I have also stated quite plainly that I have decided NOT to pursue this option at the present time. I can assure you all that there is absolutely no necessity to try to convince me of the validity of this procedure. I have done it many times in the past. My query was specifically concerning the correct title to mail to. I am unsure of this. I am leaning towards Dan's suggestion of "Human Resources Manager" and I am grateful to him for not lecturing me on the necessity of phoning first after I specifically stated I wasn't going to do so. He seems to have been the only poster here who has not felt compelled to mention this and I thank him for this. I am sure everybody is trying to help and I am grateful to you all for doing so. Well meaning although your advice is I would prefer right now to restrict myself to suggestions regarding the correct title to mail to. That is all that I am trying to find out at the moment although I am sure other people reading this thread will welcome the suggestions of calling first. All power to people that wish to do this. However I don't and as I already have stated I have no desire to. So any specific suggestions on the title? |

No lecture intended... as I stated in my post. It's YOUR business and you get to do with it what you like.
Sure, we also ‘shared’ our opinions and experience, but I also made several suggestion expressly to your question regardless of those opinions just as you requested. We are all just trying to HELP, based on our real-life success experiance, with well-wishes for your-own success. We don't need a lecture for trying to do that. Based on real experience, and since you are mailing it to just a title, the more specific you can be the greater the chance it will actually make it to the eyes of desired decision-maker.
So: "Holiday Event Planner" (In your question example) and the others such as I suggested earlier would more likely produce more profitable results. Hope that helps some brother. I am at your service and In His Service, Dean <><

I may have to end up doing a split test. Not sure that it will prove anything though. Any advance on these two........... |

Alright here's a thought.
Maby you could call up (wait don't stop reading) or get a friend to call up and ask what title, do this 10 times and use the most frequent title. Also some companies have a social commitee which makes it difficult to get to the right person. But I do direct mailing, I do call up first BUT I am very interested in the benefits you will get from not calling because I have a new list of 400 names that I simply do not want to call everyone of them. you can email me at ceo@icentertainment.com if you don't want everyone to read your answer. |

I am having to decide between "Holiday Event Planner" and "Human Resources Manager"
Although the former on the face of seems to be better than the latter I have some residual doubts. I know for a fact that the latter will actually get to a human being even if it should be the wrong one. I am not sure the former will since in a larger company it may well be the case than nobody knows who this refers to. Here is another weird complication. I have a list of actual names of the supposedly correct person with another list I have used.This was gleaned from phone calls. Here is a funny thing. I also have an official printed list of names of the Human Resources Manager gleaned from an up to date directory. In not one case do the two names match. I didn't want to get into the reasons why I don't want to make phone calls because that wasn't the subject of the topic. If we get into that it prevents people from focusing on what I want to know. THE TITLE of the person I am mailing to. If someone wants to make this a separate thread on this different topic I will be happy to give my views. |
