I've been scanning secrets into PDF files for a few years now (and I've still got a lot of work to do in that area), but I've not been able to reduce the paperwork from the business side. However, I've just added a fantastic device that allows me to reduce my paperwork to almost zero!
It's a little scanner with OCR (Optical Character Recognition) that scans receipts, invoices, business cards and automatically categorizes it and allows you to put it into Outlook, Quickbooks, Excel, or other formats. I scanned my first receipt a few days ago and was amazed that it identified Staples, Date, Method of Payment (Visa, Mastercard, Cash), Sales Tax, Total, and it categorized the purchase as Hardware/Software! It maintains the receipts (picture and associated data) in a folder structure and the program has an easy to use search function. And best of all, the pictures of your receipts and scanned paperwork are accepted by the IRS! And all this for about $200. And it takes up an area of about 6 by 6 inches on my desk. USB operated; so there is no power cord. Probably my best purchase for 2007. Check it out at Neat Receipts.

We've been using NeatReceipts for years, and can say it's wonderful! Great way to organize your receipts, track your spending habits, and tax preparation doesn't get any easier!
A worthwhile investment, just make sure you don't spend more than $150 for it. Costco, Staples, and several other stores all carry it and you can find it on sale, with additional coupons. |
