I was planning on doing a marketing “push” for a certain type of show right now (based on advice I got), so I decide to do a little research on the Café first, using the search feature. With it, I found a post stating to the effect, “No, you should have done this marketing back in early January! I’ll bet 80% of this market is already closed up by now!”

So, since timing is apparently so crucial, is there a calendar somewhere that tells you, in chart format, when you should start marketing for each show type?

For example:
If you want to do this TYPE OF SHOW.... Then you should start marketing in THIS month...

Then down the page is a long list; school shows, Christmas, library summer reading programs, etc.

I would be willing to pay for a course that had this kind of information.

Trial and error can sometimes be helpful. Or, simply call up organizations with which you would like to work and ask them when they start planning their events. A good contact management program like ACT! can be very helpful with this. It will allow you to maintain who you have called, what their response was, and will let you schedule follow-ups (which you will then be reminded of).

OK, I'm going to give one of my huge marketing secrets away here!

There is such a chart that exists, but it will take you a year to get...

Here's what you do. Read the local paper every day. Watch for special events happening in your service area. Record the date of it and any contact info, coordinator names, web sites, and any other information you wish on your "Marketing Calendar". When the next year rolls around, you'll have a great list of potential clients to contact, lined up as many months out as need be!

I just recently (in the last two years) started doing this myself, and it has resulted in a lot of bookings already! Being there for the client at the exact time they need you is not only crucial for getting the gig, but it makes life so much easier for the client to have there - Johnny-on-the-spot! They actually appreciate the "cold call" rather than wanting to just hang up and get off the phone with you!

As far as specific groups and when to market to them... The best advice I can give is for you to ask potential clients who tell you they already have entertainment lined up when they begin booking their programs. If you start hearing the same time frame from several clients, it's probably going to be the best time to hit them up next year.

It does take a year or so to get the feel of it.

But a tip might be to do several "campaigns" (for the same event/holiday). You can then see which makes the biggest hit. Put that into your calendar.

I also use my calendar to see where my dead spots are, and then try to create work for those times. A campaign, a new show, a joint venture with someone, etc.

I almost exclusively do summer reading shows at libraries. I have found that about half of the libraries will book in late January/early February, and the rest seem to have no logic or reason to their planning schemes. A few years ago, I offered a "early booking" special and took off a few bucks if they booked me the next summer before the end of the year. It was pretty successful with the libraries without a concrete plan.
