Welcome Scott. Yeah, I also tell them that as well. I think for me having both works for different situations I find myself in. Certain markets I am finding wnat a more physical promo kit. These would be for me the festival and fair market as well as agencies. Those are ones who tend to want to have one so they can file it and show it around to folks and decision makers. But I have the electronic PDF files for other situations that arise. I feel that being a professional is making sure I have what my prospects and clients need right when they need it.

Thanks Scott. You are exactly right. It is about providing solutions for your prospects that meet their needs and exceeds their expectations. Make their job easier and your perceived value goes out the roof. They will come back to you time and again because you offer things others simply are not. Promotional packets are the same way.
Aww I did not realize you would be at Kutztown as well. Kelly and I will be there and are looking forward to it. We will HAVE to find some time to chat and get caught up on what each other has been up to. Kyle

I use to have one years ago. I guess it is time to put one together because of the economy.
About 4 times throughout the last 5 years an average customer requested one from me. I told the truth I did not have one. But I did mention I had a website. To be honest, I do have a feeling another magician is trying to see my material. |

Not always Michael. It depends on what markets you work. For smaller shows like birthday parties and the like, I have never needed to use one. But for shows like festivals, agency work, malls, theaters and such then you really should have one as it makes the decision making process and easier one for them.
my promo kit is a huge selling tool for me and worth evetry cent. I have also developed a full promo kit system that is very low cost but super high quality and can be made up on the fly in less then 3 minutes and is fully customizeable to whom I am sending it out to. I then created a PDF format of this kit so I have both to use for me. Kyle

I do not worry about someone seeing my promo kit. In a way let them see what I am doing right because there is no way they could duplicate what I do and offer. I also do not have prices listed in it. That never bothers me.
In regards to outting together a promo packet system that is easy to do, quality , cost effective and customizable, I am working on trying to put togeher an ebook of sorts for 2009 that explains how to do it. I have been asked by a l,ot of folks about my promo system and how to ste it up and think it may have value to put it down in written format and show folks how they can make one themselves and use ther system to their best advantage. But I do feel everyone should have a promotional packet or kit. It is an extension of you and your brand and is a key to your effective marketing. Kyle

No problem Mike. I just have to find the time to get my notes together in a decent format and then take some photos of the step by step process. The kit and system is really great and took me a few years to get it together. But it works amazingly well and allows you to have a great and professional promotional kit at a fraction of the cost. You make them yourself, does not take that long and is fully customizeable.

The easiest and fastest way would be to put together your kit saved as an Acrobat .PDF format. This is a universal format that can be sent to anyone and have them open it with ease and print it out. It also saves all the information so there is no chance of fonts getting losted or mixed up. Most programs will allow you to save in the PDF format.
What would be a smart way to go is to develop 8.5 by 11 information sheets. Each sheet would be on your stationary so that your logo and contact information is always there branding you. Make a cover sheet with your logo or photo and stage name and contact information on it. Then you can have information sheets covering off on topics such as: - Bio - Clients you have performed for - Show packages - Quotes from customers - Letters of reference - Awards and Honors etc. These are just some of what can and should be in your information sheets for your electronic promo kit. I would also place in the email itself and use that email as a cover letter and then attach the PDF file to it. Thsi way they get some basic information through the email and it draws them in to download the PDF file and want to read more about you. The cover letter should give a taste of who you are, what you are about, what you have done for others and what you can do for them. Make sureto also place in a good call to action as well. I have to agree with most of what has been said regarding using both methods. I would just add that I don't try to 'pigeon hole' any of my clients. This isn't about what I think, it's all about the client and what they think. If they want internet, it's there. If they want hard copy, it's there. If they want to do it over the phone, it's there. I make every option available so it's never my fault if I don't get the gig. I have routines I can do over the phone. I will travel to their site and give them a free demonstration. By the time the slower ones are ready to make a decision, I'm on a first name basis with two or three of the committee members and have clicked with at least one.
Just keep in mind, there is no one right way to market yourself. People and therefore companies are all unique and different. Be adaptable and remember, markets are different in different areas. The people of Boston are different than the people of Kansas City who are different than the people of Portland. It can even be seen in micro-markets. In my immediate area, business's budgets for entertainment and such differ as much as 200%. You have to be aware of that and adjust your marketing accordingly. Hope this is helpful and gives you something to think about.

Exactly right Steven. This is why I have said that I have both and always let the client or prospect tell me which works best for them. If I am all about providing soltuions for people, then giving them what they ask for is a part of that solution process. The best way to market yourself is to take an active approach, learn as much marketing concepts as you can and then adapting it directly to what works for YOU.

Your promo pack should be online. New media is the new paper. You should be on the phone with prospective clients and instruct them what address to go to, and what links to click. With the money you just saved on printing you should buy Seth Godin's "Meatball Sundae" |

Actually I feel strongly you need both an electronic format promo kit as well as a printed promo kit. There are reasons for both (as I talked about previously in this thread). Having both gives you the power and control you need over your marketing. There are situations and circumstances, where a physical format promo kit has more power for you. Having both working for you is an effective marketing solution.

When you speak of an online promo pack, are you talking about a PDF you attach to an email, or something on your site available 24/7?
I have a PDF to attach to emails, but it is created specifically for that customer, complete with rates and personalized for them. The challenge I've run into with this, is that some customers can't accept emails with large attachments (certain customers in agencies related to the Canadian Government, have restrictions on the file sizes they can accept). If you include some photos on the various pages of your PDF, you end up creating a pretty large file. I've ended up stripping down the letters (which were converted to a PDF) to make them the right size for the customer, but I feel they end up lacking some punch. Any idea how to overcome this challenge (especially for someone who doesn't know a whole lot about technology)? The idea of splitting up the file doesn't really appeal to me. - Donald

You are right kyle. But something is better than nothing for sure. And online costs next to nothing and can be updated and altered whenever you want.
Donald, A PDF is ok, But think of having it in a webpage type format, but streamlined...possibly on one page, Bio at the top, photos, youtube videos, press clips, and testimonials. You may want to still link to a watered down pdf version if they want to download it, and a pdf of a photo or something like that. Anything you have to highlight you and why they would want to hire you in a concise (online) package. It is different from your website. I would say it is a piece of your website. Like a myspace page...but all about your product...and not on myspace. |

Donald: Try zipping the file, as it stuffs it and keeps the file size down a lot. This may be an easy possible solution for you. Another solution is that sometimes you can set your profiles in Adobe Acrobat so that it will create a PDF file that is of a lesser resolution. For example a 150 dpi PDF still looks good and prints fine but will cut file size down a lot compared to a 300 dpi file.
Mike: You are right in that online is a lot cheaper. However, a quality promo packet that can be mailed does NOT have to cost a fortune and can be customizable. The new promo system I developed and have used for years is a system just like that. It is a high quality promo packet that cost me next to nothing. I can create it in as little as 1 minute and can have it fully customized to any client. I am also not stuck with a lot of them cause it is print on demand and created right form my office at home. It is also something anyone can do. Kyle

I have to admit that I started using the internet 1st. For years I've done it this way, but I'm a geek. With that said I have decided to use both from what I have learned. When I was a part time performer I always referred clients to my website when there was no time for a personal demonstration, then it grew by word of mouth from there. Now that I am full time I see the need to use every resource possible to increase bookings.
