I am a big fan of using some form of CRM (customer relationship management). I think it is very important to keep in touch with previous clients and thank them when they refer shows, etc. It is also a good way to build your lists for marketing purposes. At the very least, you need to have a good system for keeping your schedule and all your clients' contact info.

There are many ways of doing this. For the last few years, I have used a great program called DayLite on the Mac. A similar program for Windows is Act!

For the last few months, I have been testing an online CRM called KarmaCRM. I had previously tried other products such as Salesforce.com and SugarCRM. But they all came up short for one reason or another.

But, I have finally found the online CRM that has made me switch!
Since it is an online program, you can always check your schedule/access contact info wherever there is Internet. I now do most of my business from my iPad.

It hooks up effortlessly with Wufoo forms, so if someone fills in my contact form on my website, I get an email and KarmaCRM automatically creates a new contact and enters all the data.
It also links up with MailChimp for email marketing.

I am aware of the arguments for and against using a cloud-based CRM system. But after a LOT of research and experimenting with different systems I am very glad I finally made the switch.

I can't say enough good things about KarmaCRM. I love the interface and using Tags is a great way to categorize your different contacts. It is a new product and the developer continues to add new features. I have been amazed with how quickly they respond to questions and suggestions. There is a box for feedback right on the user dashboard (which lists all your upcoming appointments, etc.) Any time I have used the box to ask a question or make a suggestion, I get an almost instantaneous response. Incredible.

I think they are going to go from strength to strength.

And if you go to their website, you will see I have provided a testimonial (which I do not do for many products). You can sign up for a free trial.
I signed up as an affiliate (again something I very rarely do), because I love this company so much.

Great. Do you have the email application turned on? It is a beta feature and allows you to create and send merged email templates. If you haven't, ask John-Paul to turn it on for you.

I noticed they have a free version.

Their web site says:

2 Users, 300 Contacts, 300 Companies and 10 Deals

I can figure out the users, contacts, companies, but what is a "deal" in their terminology.

I'm thinking that as someone just building a business the Free version may be all I need until I get more that 300 contacts to manage. Is this correct?

Yes, you can sign up for a free account and as your business grows, you can upgrade to a paid account which start at about $9 a month.

The deal section is as it sounds. Many magicians won't necessarily need to use it since people usually just call and book a show. But if you are busy and want to keep track of everything that is coming in, the deals section is very useful. If someone calls and is interested in a show, I start a new deal. If they book it straight away you can mark the deal as Won. However, if they don't book immediately you mark it as pending. You can run a report to show all the pending deals and then follow up with a phone call or email. Doing this will also show you what your win ratio is. i.e. what percentage of calls are you booking.

Someone emailed me about backups. There is information on their site about multiple backups. Also, you can export all your data as a single CSV file at any time. You can use this to import into a different software if you decide to try something new, or just keep it as a personal backup. The main worry with this kind of online database system is that the company will suddenly fold and you lose all your valuable data. With this feature you don't have to worry because you can export your data.
