How many of you are using Drop Box?
Whats your thoughts and advice on how to use the program? If you have been under a rock and don't know what Drop Box is you shoudl sign up for it. Drop Box is free and amazing helpful program. Here is a link: http://db.tt/K6hURzK |

I have all of my contacts, invoices and estimates on Dropbox. This way they are accessible and editable from my work, home, phone and tablet - as well as any computer that has the internet.
Hope you make it to you 8gbs.

It is a wonderful program and very close to dropBox if not better is evernote. I use Evernote every single day.

Evernote is good, but Lotus Notes is very very cool. I use DropBox all the time. It is on my newly acquired iphone and I don't know how I lived without it.
I have also done away with my CRM system. I used Zoho CRM and with the iphone app it was costing $15 per month. With a simple excel spreadsheet (I actually use Open Office, but same thing) I can update my contact list on drop box on the go via iphone. Alsi, Mail Chimp has serve me well with allowing me to easily and quickly email all my conatcts, some, or none anytime I wish... FREE! Josh |

So simple it's stupid and you'll love it. Ready? Open excel or open office or whatever you use. Make 12 sheets. At the top of each sheet label them January, February, March, etc.
Then I label each column with date, name, email, phone number, address, etc. In this same sheet I have sections for kids bdays, family shows, private shows, and corporate shows. Here's what this allows me to do: On the first of every month I send out an email via Mail Chimp to all the contacts and leads who contacted me last year around that time to either inquire or books a show. Let me explain. Say it is April 1st. I send an email to my May contacts and leads and email that is simple "Hi, Josh London here, you contacted me about a bday, corporate event, etc. this time last year and I was wondering if you'll be having one again this year. After using ACT! and my latest, Zoho I have come to the conclusion that I have more control over my contacts the way described above. It just works for me and now with dropbox, my iphone, I don't even need a computer (I also have a Wordpress app on my iphone so I can update my sites). Here's what did it for me and Zoho. It was about $200 a year. And I hit a wrong button and lost 500 contacts and leads and no one at Zoho seemed to care or help, so I cancelled. PM me if you need further help. Josh |

Evernote is a free program and application available through website or smartphone that gives you access to free note making tools. You can create any note or any file you wish and be able to update it anytime and any location no matter where you are. Now because it is free and available on website access and via free application for your phone, you have this information at your fingertips anytime you want no matter where you are at and can update it at the same time.
Evernote is at the heart of a new and powerful system I have been putting into place this year that has made an amazing and HUGE difference in my magic business. The system has blown me away in just how much it allows me to stay focused and run my business more effectively. Kyle

Josh: The short of it is a combined new system I created that combines the power of goal setting with the power of task management. Goals are only as good as the steps or smaller tasks you need to fo to accomplish them. Imagine how far along you would be if you committed to youself every single day to do a task and accomplish that task. 365 tasks would be done by years end and how much father along would your business be? It got me thinking a LOT.
So evernote is used in this new advanced system I have created to establish tasks that are written down based on daily tasks, weekly tasks and monthly tasks. It gets updated every single day with new things that come in or if any task status changes. It has allowed me already to be a pro at doing follow ups with hot leads. Has been amazing. I now can update my list no matter where I am and at any time so it is only one central source for all my data without it getting lost. I can even update it at an event or if I meet someone. Kyle

Kyle, that sounds awesome! I use a combination of David Allen's Getting Things Done system and for calendar keeping I use Franklin Covey. However, lately I've been using my reminders app on my phone for the small things like order 3 magic kits for shows this weekend or make copies of my coloring sheets.

Evernote my favorite mobile app.
However, for task management, you should consider http://www.asana.com Asana is free, lighting quick and quite simply awesome. I use it in my freelance business as you can create tasks easily and attach comments, notes, files, etc to each task. They also make a mobile application for it as well. You could setup each task in Asana for your bookings and create a new tasks 11 months from the completed show to email your previous clients. Andy |

That is why I am enjoying Evernote and dropBox. I use evernote more for my daily goals and to do system I talked about and DropBox for hosting my PDF files, promo kits , contracts and materials I send out. This way I have access to them no matter where I am at and it is backed up at all times.

Yes, I've been using drop box for almost a year now and love it....access my stuff anywhere and even via my phone.
Thanks guys for the tips about evernote....I heard someone mention this yesterday and now this morning....I just opened an account. Time to explore. Also I didn't know Wordpress had an iphone app. Thanks for that too. As for ToDo tracking....I've used all kinds of programs for years. I love my lists. However, I recently moved to simple Excel. I do use David Allens "Getting Things Done" methodology. I just hate when software slows me down. I don't like having lots of clicks to update things. Excel plus Dropbox makes To Do List maint fast and constantly available via my iPhone. Also, I just added the PayPal app to my phone to make taking charge cards available to me. I've helped set up "square" for a friend, but don't use it myself. Thanks for the tips everyone. |

I've been a Dropbox user since shortly after it launched! Amazing app.
Kyle's right. Evernote rocks. I actually use Simplenote which is similar. In it's early days Evernote was so bloated that it took forever to load on my iPhone. Simplenote opened instantly. Since then Evernote has drastically improved and is a better app than Simplenote in almost every way. I continue to use Simplenote because I don't want to take the time to transfer my thousands of notes! ;-) For task management and customer notes I use Highrise by 37 Signals. I absolutely love this app. The downside is that it's $25 a month, but they do have a free plan that allows you up to 250 contacts. |
